For events with multiple guests arriving at different times from different starting points, NLS provides full multi-vehicle event coordination. Every vehicle and every chauffeur is part of an integrated dispatch operation managed centrally.

Typical multi-vehicle events range from 5 vehicles (a small foundation dinner) to 50+ (a major corporate launch or large gala). Larger programs are coordinated through our dedicated event team with named contacts at every stage.

What makes multi-vehicle work isn't just having vehicles. It's knowing when and where each one needs to be, accounting for traffic and venue constraints, and adjusting in real-time as events evolve. That's what 37 years of practice produces.

Planning Process

How event programs come together.

For larger events, planning typically begins 4 to 6 weeks in advance. Single-vehicle bookings can be confirmed within a week.

Initial planning call

30-minute call with our event team. Discuss event date, venue, expected guest count, transportation needs, and any specific protocols. Email reservations@nlstrans.com to begin.

II.

Transportation plan

NLS provides a written transportation plan including vehicle counts, timing, routes, and pricing. Plan is refined with your input over 1 to 2 iterations.

III.

Guest manifest and final confirmation

Final guest list (or vehicle count), pickup locations, and timing. Dedicated event coordinator assigned for larger programs. Test confirmation sent to all parties.

IV.

Event day operations

Live dispatch monitors all vehicles. Real-time adjustments made as events evolve. Event coordinator available throughout for any logistics changes.

V.

Post-event reconciliation

Final invoice with all itemized vehicle hours, tolls, parking, and gratuities. Multi-vehicle programs receive consolidated reporting for finance teams.

Yes. For larger events, NLS provides full transportation coordination including guest manifests, multi-vehicle dispatching, staggered arrival and departure timing, venue coordination, and dedicated event-day support. We work directly with event planners, venue managers, and corporate hosts to design transportation that matches the event's flow.
Do you accommodate red carpet or dignitary protocols?
Yes. NLS chauffeurs are trained in protocol-sensitive arrivals including red carpet handling, dignitary protocols, security coordination, and discreet entry and exit logistics. For events requiring specialized security coordination, our team works directly with event security and protective service teams.
How far in advance should I book event transportation?
For single-vehicle bookings, we recommend at least 1 week in advance. For multi-vehicle event coordination, 4 to 6 weeks of advance planning is ideal, particularly during peak event seasons (spring galas, holiday fundraisers, awards season). Last-minute bookings accommodated based on availability.
Can NLS provide a dedicated event coordinator?
For events with 10 or more vehicles or complex logistics, NLS assigns a dedicated event coordinator who serves as the single point of contact from initial planning through event day. The coordinator handles guest manifests, vehicle assignments, real-time dispatch adjustments, and final reconciliation.
Does NLS handle private school proms and formals?
Yes. NLS provides premium chauffeured arrivals for senior proms, debutante balls, formal dances, and similar private school events. Mercedes S-Class and Cadillac Escalade are the standard vehicles; Sprinter is available for group bookings of friends. Parent notifications of pickup and arrival are included on request, and chauffeurs are NDA-bound and trained in protocol-sensitive service for younger passengers.
What is the cancellation policy for events?
Special event change and cancellation policies supersede standard policies and are documented in your booking confirmation.
