Setup Process

How accounts are established.

Most corporate accounts are active within 3 to 5 business days. The setup process is designed to minimize back-and-forth between your team and ours.

Initial conversation

30-minute call with our corporate accounts team. We discuss your travel patterns, expected volume, billing requirements, NDA needs, and any platform integrations. Schedule via reservations@nlstrans.com.

II.

Account documentation

NLS provides standard or custom NDAs, master service agreement, COI samples, and any vendor questionnaires your procurement team requires. We work through your standard vendor onboarding workflow.

III.

Authorized bookers and travelers

Your team designates authorized bookers (executive assistants, travel managers, procurement) and authorized travelers. Each gets a profile in our reservation system with their preferences and any restrictions.

IV.

Test booking and reporting review

We coordinate a test booking to validate the workflow end to end. Sample invoices and reports are reviewed by your finance team. Any adjustments to billing structure or reporting cadence are made now.

V.

Account active

Account is live. Your travelers can be booked through your standard channels (direct, executive assistant, or platform integration). Quarterly account reviews are scheduled for your team's convenience. Application details available on the corporate accounts page.

How do I set up a corporate account with NLS?
Corporate accounts are established through a brief onboarding conversation with our team. Can NLS provide a Certificate of Insurance (COI)?
Yes. NLS maintains $10 million in commercial liability coverage, well above industry standard. Certificates of Insurance are issued within one business day, with custom additional insureds and wording accommodated. Submit COI requests to reservations@nlstrans.com with your company name and any specific requirements.
Does NLS integrate with corporate travel platforms like Concur?
Yes. NLS supports integration with SAP Concur and other expense management platforms. We can also accommodate custom reporting structures, GL coding, and consolidated monthly invoicing. Travel managers should contact our team to discuss specific integration requirements.
What discretion measures does NLS use for executive clients?
Every NLS chauffeur, dispatcher, and concierge staff member signs and operates under a Non-Disclosure Agreement. Confidentiality is contractual, not just cultural. Dispatch records are restricted to operational personnel only. For high-sensitivity bookings, additional protocols including limited-distribution dispatch are available, and we can sign your custom NDA in place of ours.
How does NLS handle multi-city corporate roadshows?
NLS coordinates multi-city roadshows directly through our dedicated account management team. For markets we serve directly (Bay Area, LA County), we provide our own chauffeurs and vehicles. For other markets, our certified affiliate network maintains equivalent standards: same vehicle classes, same NDA protocols, same insurance levels. A single point of contact manages the entire trip with consolidated invoicing.
What is the corporate cancellation policy?
Standard NLS cancellation terms apply: cancellations within 24 hours of pickup may incur a fee equal to the base service rate. Corporate accounts can negotiate custom cancellation windows, group cancellation provisions, and volume-based flexibility as part of the account setup. Can I designate authorized bookers for my company?
Yes. Most corporate accounts have multiple authorized bookers, including executive assistants, travel managers, or procurement staff who can book on behalf of designated travelers. Each booker has appropriate permissions and visibility based on your access requirements.
What documentation does NLS provide for procurement onboarding?
Most procurement teams require: vendor profile, W-9, COI, NDA (we can provide ours or sign yours), insurance summary, references, and any custom vendor questionnaires. NLS handles all of these as part of standard account setup. We've worked through hundreds of procurement workflows and can generally turn around documentation requests within 2 business days.
Does NLS offer net-rate billing for travel agencies and corporate accounts?
Yes. Net-rate billing is available for qualifying corporate accounts and travel agency partners. Terms are negotiated during account setup based on volume, payment terms, and program structure. Travel agencies should also see our travel agents page for partner-specific information.
